Settings and account
File storage, Dropbox, Google Drive and OneDrive
How much space your files use, what happens when it's full, and keeping files in your own cloud storage instead.
Every design your customers send, every mockup, customer file and product template is kept for you. Your plan includes a storage allowance for these files (5 GB unless whoever runs your ArtworkDesk has set something different).
Seeing how much you've used
Open Settings > Plan and billing, or Settings > Connections. File storage shows how much is used and a bar towards your allowance. The bar turns yellow at 75% and pink at 90%.
When you reach 90%, the Owner and Admins see a banner at the top of every page with a link to connect your own storage.
When it's full
New uploads are refused with a message saying storage is full, from your team and from customers sending their designs. Nothing already saved is lost or removed. To make room you can:
- connect Dropbox, Google Drive or OneDrive, so new files go there and don't use your allowance (see below);
- move the files you already have to it;
- delete files you no longer need from customers' files or orders;
- ask whoever runs your ArtworkDesk about a bigger allowance.
The Owner and Admins also get an email when storage is nearly full, and when an upload was refused.
Keeping files in your own cloud storage
Any plan can connect one cloud storage service. Only the Owner and Admins can connect or change it.
- Open Settings > Connections.
- Under File storage, click Connect Dropbox, Connect Google Drive or Connect OneDrive.
- Sign in to the service and approve access.
You're brought back to Connections, which shows the account that's connected. From then on, new artwork, mockups, customer files and product templates are saved there, in an ArtworkDesk folder sorted into Orders, Customers and Products. Your logo stays in ArtworkDesk, so customer pages always show it.
ArtworkDesk only gets its own folder in your account (Dropbox's Apps folder, the files it made in Google Drive, or OneDrive's Apps folder). It can't see anything else you keep there.
Your team and your customers open files exactly as before. A file kept in your cloud storage is fetched the first time someone opens it, so it can take a moment longer.
Moving the files you already have
After connecting, click Move my files to Dropbox (or Google Drive or OneDrive). Files move a batch at a time in the background while anyone uses ArtworkDesk, and overnight, so you can carry on working. Connections shows how many are in your cloud storage and how many are still in ArtworkDesk. Click Stop moving to pause.
To bring them back, click Move files back here. They're copied back to ArtworkDesk and count towards your allowance again; the copies in your cloud storage are left where they are. Moving back stops if your allowance fills up.
Disconnecting
Click Disconnect under File storage. New files are saved in ArtworkDesk again.
To switch to a different service, move the files back, disconnect, then connect the other one.
