Customer files and folders

Every design, approved mockup and file you keep for a customer in one place, in folders, ready to use on their next order.

Each customer has their own files: the designs that came with their orders, their approved mockups, logos they sent with a quote request, and anything else you keep for them. When they order again, you can use a file from here instead of asking for it again.

Open the customer and click Files at the top of their page. The button shows how many files they have. You need the Customers permission.

Folders and All files

  • Folders shows the files and folders at the top level. Click a folder to open it. The path above the files shows where you are; click All folders or a folder's name to go back up.
  • All files shows every file, in whatever folder, with the folder's name on each one.

The newest files come first. Use Every kind to show just one kind:

Kind What it is
File (kept by you) Files you uploaded here yourself.
Customer's design Design files added to their orders, and logos sent with quote requests.
Approved mockup Mockups the customer approved, or that you approved for them.

To find a file, type part of its name, its note or a job number in the search box and click Search. Searching looks in every folder.

What arrives by itself

You don't need to save files here yourself:

  • Designs: every design file added to one of their orders, whether they uploaded it, it came with a website order, or you added it, is kept here as a Customer's design.
  • Approved mockups: when a mockup is approved, its files are kept here as an Approved mockup, with a note such as "Approved mockup v2 for Hoodie".
  • Quote requests: logos and files sent with a quote request from your website are kept as a Customer's design.

Files from an order show the job number. Click it to open that line on the order. Files that arrive by themselves aren't in a folder; move them into one if you like (see below).

Adding files

  1. Open the folder you want them in, or stay at the top level.
  2. Under Add files, choose up to 20 files. Each can be up to 50 MB.
  3. Add a Note if you like, and click Upload.

As well as the usual design files, you can keep spreadsheets (XLS, XLSX and CSV) here, for example a list of names to print.

Making folders

Under New folder, enter a Folder name (for example "Logos") and click Make folder. It's made inside the folder you have open, or at the top level, so you can have folders inside folders.

With a folder open, This folder has Rename and Delete folder. Deleting a folder doesn't delete anything in it: its files and folders move up a level.

Moving files

  1. Tick the box on each file you want to move.
  2. In the box that appears on the right, choose a folder under Move to, or Not in a folder for the top level.
  3. Click Move. Clear unticks them all.

Changing or removing a file

Click a file's picture to open it, or Download to save it.

  • Edit changes its Name and Note. Click Save. The file type stays the same.
  • Remove takes it out of the customer's files. A file that came from an order stays on that order.

Using a file on an order

When a product line is still in design, its Artwork panel has Use a file from the customer's files. Open it, tick the files you want and click Use these files. They're added to the line just like an upload, with the note "From the customer's files", and the line moves on as it would when artwork arrives. The 60 most recent files are listed, leaving out any already on that line.

This needs the Orders and design permission. See The order page.
