Changing your email wording
Write your own subject, heading and message for the emails your customers get.
You can change what the main emails to your customers say, so they sound like you. Your own email wording is part of the Pro and Business plans, and the free trial.
Open Settings > Email wording. You need the Settings and team permission (Owners and Admins have it).
The emails you can change
| When it's sent | |
|---|---|
| Asking for their design | When you ask a customer to upload their artwork. |
| Mockup ready to check | When you send a mockup for approval. |
| Mockup reminder | When a mockup is still waiting for an answer. |
| Quote | When you send a quote. |
| Quote follow-up | The automatic follow-up for a quote that hasn't been answered. |
| On its way | When you record a dispatch and email the customer. |
Emails to your team, and invitations, always use the standard wording. See Emails ArtworkDesk sends for the full list.
Changing an email
- Click the email's name to open it.
- Fill in any of Subject, Heading and Message, after Hello and their name. The standard wording is shown in grey in each empty box.
- Click Save wording at the bottom of the page.
Emails you've changed show Your wording next to their name.
You don't have to fill in every box. Anything you leave empty uses the standard wording, so you can change just the subject, for example. Line breaks you type in the message are kept.
To go back to the standard wording, clear the boxes and click Save wording.
Filling in details
Type a word in curly brackets and it's replaced with the details for each email. For example, "Hi {customer}, thanks for order {order}" becomes "Hi Sam, thanks for order JOB-1001".
| Word | What it becomes |
|---|---|
| {customer} | The customer's first name. |
| {order} | The job number, such as JOB-1001. |
| {product} | The product the mockup is for. |
| {quote} | The quote number, such as Q-1001. |
| {total} | The quote's total. |
| {valid_until} | The date the quote is valid until. |
| {business} | Your business name. |
Not every word works in every email. Under each email, You can use lists the ones it takes: for example, {product} is only in the mockup emails, and {quote}, {total} and {valid_until} are only in the quote emails. A word an email doesn't take is left as you typed it, brackets and all.
What's always added
Your wording replaces the subject, the heading and the first paragraph. The rest of the email is added for you, as usual:
- "Hello" and the customer's first name, before your message;
- the buttons and links, such as Upload your design, View the mockup, View and accept the quote and Track your parcel;
- the list of products, on the artwork request and dispatch emails;
- any note you add when you send it, and the tracking number and dispatch notes;
- the closing lines and your sign-off;
- your logo, brand colour and contact details.
If you move to a lower plan
On the Starter plan, the page shows an upgrade note and your emails go back to the standard wording. Your own wording is kept, and comes back if you move to Pro or Business again.
