Quote requests from your website

Put a quote request form on your website, and get each request as a draft quote with the customer and their logo added.

The quote request form goes on your own website. Customers choose products and quantities, add their details and upload their logo. Each request arrives in ArtworkDesk as a draft quote, priced from your price book, ready for you to check and send.

The quote form is part of the Pro and Business plans, and the free trial.

Setting up the form

Open Settings > Quote form. You need the Settings and team permission (Owners and Admins have it).

  1. Tick Taking quote requests.
  2. Fill in Words at the top of the form if you like, for example "Tell us what you need and we'll send you a quote within one working day."
  3. Fill in the Thank-you message customers see after sending.
  4. Leave Let customers upload their logo or design ticked, or untick it to hide the upload box.
  5. Under Products on the form, tick the products customers can choose. Leave them all unticked to offer every product in use. Customers can always choose "Something else" and describe it.
  6. Click Save.

If you leave the words at the top or the thank-you message empty, the form uses a standard line.

To stop taking requests, untick Taking quote requests and click Save. The link then stops working until you switch it back on.

Adding it to your website

Once you've saved the form, Add it to your website gives you two ways to use it:

  • Link to the form: click Copy and use the link for a "Get a quote" button or menu item.
  • Or put the form on a page: click Copy the code and paste it into an HTML or embed block on your website. WordPress, Wix, Squarespace and Shopify all have one. The form then appears on that page.

Click Open the form to see it as your customers will. It carries your logo and brand colour.

What the customer fills in

Under What you need, for each product they want:

  • Product: chosen from your list, or "Something else", where they type what it is.
  • How many.
  • Colour.
  • Details, for example "Logo on the front, sizes S to XL".

They can click Add another product, up to 10, and fill in Needed by, Your logo or design (optional) (up to 5 files) and Anything else?.

Under Your details, they add Your name, Company or organisation, Email and Phone. Their name and email are needed. They click Send my request and see your thank-you message, with your phone number if it's in your business details.

Customers can upload the same kinds of file as for artwork. See Getting artwork from customers.

What you get

Each request becomes a Draft quote called "Quote request" under Quotes, with Came from set to Website enquiry.

  • The customer: found by their email address, or added if they're new, with the name, company, email and phone from the form. An existing customer's details aren't changed.
  • The lines: one for each product, with the quantity, colour and details. Prices come from the customer's price book, or your default price book if they don't have one, at the right price for the quantity. If the product has a setup fee, a "Setup" line is added too. Lines for "Something else", or products with no price, start at 0.
  • Needed by becomes the quote's Needed by date, and their Anything else? message goes in the quote's Internal notes.
  • Their files go into the customer's files, marked as from the customer and noted "Sent with quote request" and the quote number. See Customer files and folders.
  • The timeline shows that they asked for a quote on your website, and which files they sent.

Everyone with the Quotes permission gets a notification. They choose whether it comes by email, in the app or as a browser notification under "A quote request arrives from your website" in their notification settings. See Notifications and browser alerts.

Check the prices, add anything that's missing, then send the quote as usual. Nothing is sent to the customer until you do. See Creating and sending quotes.

Spam protection

The form has two quiet checks against spam. A hidden box that people can't see, but automatic spam programs fill in, and a check that the form wasn't sent faster than a person could fill it in. Requests that fail either check are thrown away, without telling the sender. The form also only takes a few requests a minute from the same place.

You don't need to do anything for this to work, and your customers won't notice it.
