Importing and exporting with spreadsheets

Add or update customers, products, quotes, prices, stock and orders in bulk from a spreadsheet, or take a copy of everything.

You can move customers, products, quotes, the prices in a price book, stock counts and orders in and out with a spreadsheet, and bring in Etsy orders from Etsy's own download. It's the quickest way to bring everything over from another system, or to update a lot of records at once.

To import or export Go to
Customers, products, quotes or stock Open the list (Customers, Products, Quotes or Stock) and click Import or export.
Prices Open the price book and click Import or export.
Orders Open Orders, click Import or export and choose Orders spreadsheet.
Etsy orders Open Orders, click Import or export and choose Etsy orders.

The Owner, Admins and Sales and design can export. Only people with the Imports permission (the Owner and Admins) can import.

Exporting

Click Export customers (or products, quotes, prices, stock or orders) to download a CSV file of everything in the list. It opens in Excel, Numbers or Google Sheets. Your own custom fields are included as extra columns for customers, products and quotes. The orders export has one row per product line, for your latest 5,000 orders.

You can edit an export of customers, products, prices or stock and import it back to update what's there.

Importing

  1. Click Download the template, or use an export if you want to edit what you already have.
  2. Fill it in, one row per record. Keep the column names in the first row exactly as they are. The Columns table on the page says what goes in each one, and which are required.
  3. Save it as CSV. In Excel, use File > Save As and choose CSV UTF-8 (Comma delimited).
  4. Choose the file and click Upload and check.
  5. Check the preview. It lists what will be added or updated, with any problems and why, starting with the problems (up to 300 at a time). Click Import (the button shows how many records) to save the good rows. Nothing changes until you do.

Rows with problems are skipped, so you can fix them in the spreadsheet and import just those rows again.

A file can have up to 5,000 rows and be up to 10 MB. Any rows after the first 5,000 are ignored, so split bigger files.

How rows are matched

List An existing record is updated when... Otherwise
Customers the Email matches a customer a new customer is added
Products the Product code matches (or the Name, for rows with no code) a new product is added
Quotes never: each import adds new quotes rows with the same Quote reference become one draft quote, one row per line
Prices the product is found by Product code (or Product name): its prices in that price book are replaced by the rows in the file the rows are skipped as errors; add the product first
Stock the product is found by Product code (or Product name) and already has stock for that Colour and Size the colour and size are added to the product's stock; rows for products you don't have are skipped as errors
Orders never: each import adds new orders rows with the same Order reference become one order, one row per product line. A reference you've already imported is skipped
Etsy orders never rows with the same Order ID become one order. Orders you've already imported are skipped

For customers, products and stock, empty cells leave existing details as they are, so a file with just a few columns only changes those. It must still include the required columns (marked Required in the Columns table).

Tips for each list

  • Customers: put the name of one of your price books in Price book, or leave it empty for your default prices (for an existing customer, an empty cell keeps their current price book). For addresses over several lines, start a new line in the cell (Alt+Enter in Excel) or separate the lines with commas.
  • Products: Show on orders and quotes takes Yes or No. Needs a mockup takes Yes or No; leave it empty to use your usual setting. Prices aren't in the products file; set them in price books.
  • Quotes: the customer must already exist, found by Customer email, so import new customers first. Leave Unit price empty to price a line from the customer's price book, including its setup fee. Sizes takes a list like "S 10, M 20, L 20". Imported quotes are drafts with your next quote numbers, ready to check and send.
  • Prices: one row per quantity break. From quantity is where the price starts, as on the price book page.
  • Stock: one row per product, colour and size, each only once in the file. Leave Colour or Size empty for products in one colour or one size. On the shelf (required) is how many you have now; it's saved in the stock history as a stock count. Reorder level is when to order more, Order this many is the least you order at a time, and Location is where it's kept. Products in the file are switched to track stock.
  • Orders: Customer email finds the customer, or adds them with the Customer name. Each line needs a Product code or a Description. Leave Quantity empty for 1, or for the total of the Sizes (written like "S 5, M 10, L 5"). An empty Decoration uses the product's usual one, and an empty Due date is worked out from your lead times. Rush and Needs a mockup take Yes or No. Imported orders start at Awaiting artwork and no emails go to customers; ask for the artwork when you're ready.
  • Etsy orders: upload the "Order items" file from Etsy as it is, without changing it. See Orders from your website and Etsy.

Dates can be written like 31/12/2026 or 2026-12-31.
