Production and dispatch

Production calendar, capacity and scanning

See each department's work by day against what it can make, and scan job sheets to move jobs on.

The production calendar shows what each department has due over the next week, so you can spot a busy day before you promise a date. Scanning lets your team move a job to its next stage by scanning the QR code on its job sheet.

Both are part of the Pro and Business plans, and the free trial. You need the Production board permission.

The calendar

On the production board, click Calendar.

It shows seven days, starting today. Use the arrows to see the 7 days before or the next 7 days, and From today to come back. Today is outlined.

There's a row for each department. If your role doesn't include Every department, you only see the departments you work in. Paused departments aren't shown.

What each day shows

Each day lists the product lines on orders due that day: the job number, how many and the product, with Rush on rush orders. Up to six are listed, then "and 3 more", for example. Click a line to open it on the order.

The number at the top of the day is how many items are queued or in production for that day. If the department has a daily capacity, it's shown as, for example, "180 / 250", with a bar for how full the day is.

  • Over by a number, in magenta, means more is due that day than the department can make.
  • A greyed-out day isn't one of the department's working days. If anything is due on it, it says Not a working day.

Orders without a due date aren't on the calendar, and nor are lines that are ready to dispatch or dispatched.

Lines still in design

Lines still waiting for artwork, a mockup or approval are shown faded. They don't count towards the day's total; instead the day says, for example, "40 still in design". This shows work that's coming, even though it isn't approved yet.

These lines don't have a department yet, so they're shown in the department they'll most likely go to when they're approved. See Where an approved job goes.

Overdue work

If a department has lines that were due before the first day shown and are now overdue, an Overdue strip at the top of its row lists their job numbers. Click one to open it.

Setting capacity and working days

  1. Open Settings > Production, or click set it next to No daily capacity set on the calendar.
  2. Click the department on the left.
  3. Enter Items it can make in a day, for example 250. Leave it empty if you don't plan by capacity.
  4. Tick its Working days. Monday to Friday are ticked to start with.
  5. Click Save department.

You need the Settings and team permission to change these. Capacity is counted in items, so an order line for 50 T-shirts counts as 50.

Scanning a job sheet

Each job sheet has a QR code. Scan it with a phone or tablet camera and it opens the job, ready to move. You need to be signed in.

The page shows the job, the customer, the due date and where the job is now. Then:

  • Move to (the next stage) moves it on, in one tap. After the last stage, it's Move to Ready to dispatch.
  • Move somewhere else lists Queued, each stage and Ready to dispatch.
  • Assign it to me gives you the job.
  • Open the order takes you to the order page.

If the job is already ready to dispatch, or isn't in production yet, the page says so.

Moving a job here works just like dragging its card on the board. See The production board.

The scan station

The scan station is for scanning job sheets one after another, for example on a tablet by the press or at the packing bench. On the production board, click Scan station.

  1. Choose the Department. If your role doesn't include Every department, only the departments you work in are listed.
  2. Under Scanned jobs move to, choose Their next stage, one of the department's stages, or Ready to dispatch.
  3. Scan each job sheet.

You can scan in three ways:

  • Click Scan with the camera and hold each job sheet up to it. Allow camera access when your browser asks. Holding the same sheet in front of the camera only counts once every few seconds. Click Stop the camera when you're done.
  • Use a barcode scanner that reads QR codes. It types into the box for you.
  • Type a job number, such as JOB-1001, and click Move.

If your browser can't read QR codes with the camera, the camera button isn't shown and the page says so. Use a scanner, your phone's camera app or type the job number instead.

Each scan is added to the Scanned list with a tick and where the job is now, for example "JOB-1001 T-shirt: now Printing". Scans that didn't work are marked ! with the reason.

When a scan doesn't work

Message What to do
"has 2 products in production. Scan the job sheet for the one you mean." A typed job number can only move an order with one product queued or in production. Scan that product's job sheet instead.
"isn't in production" The line hasn't been approved yet, or it's been dispatched.
"is already ready to dispatch" There's no next stage to move it to.
"belongs to (department), not this station" The job is in another department. Choose that department under Department, or scan it at its own station.
"No job found" Check the job number.
